Location and Seat Map Basics
Your locations and seat maps are the building blocks of Backstage Manager. You must add your location before you can add events or other items for sale.
There are two main types of location:
• Seated location: Customers choose their own seat from a seat map (e.g. a theatre auditorium)
• Non-seated location: Standing or unreserved space only (e.g. a standing gig in a studio space)
Add a Location
• Go to Calendar & Scheduling > Locations > Add Location
• Choose the Location Type:
• Sales location: Use this when you want to link a physical location to products or items you are selling
• Event location: Use this when you need to set a location for an event
• Enter the Location Name
• Optional: Enter the address (Address 1, Address 2, City, State/Province, ZIP/Postcode, Country)
• Within the location, you can add different areas, such as "Stalls", "Circle" or "VIP". Add as many as you need. When you create tickets for an event at this location, you can set tickets for each area.
• Tap Add Location
Choose a Layout
Select the floor plan type that best suits your location, then use the drawing tools to create your layout:
• Rows with sections: Normal and large venues, e.g. theatres and concert halls
• Rows without sections: Very small venues, e.g. studio theatres
• Tables: Layouts with tables, e.g. cabaret, fundraisers and dinner events
• Booths: Layouts with stands, e.g. trade shows and exhibitions
• Mixed layout: All drawing tools available (except sections)
Add Sections to a Seat Map
• Edit the seat map
• Select Categories
• Highlight your rows and tap the edit icon
• Name the section (e.g. "Front Rows" or "Premium")
• Save
You can then set a separate price for this section when creating your event.
Create a Mixed Location
A mixed location has both GA (standing) and seated sections.
• Create a seated map containing all seated sections, and a GA map containing all GA sections
• Create a new event using the seated map and define the settings for those sections
• Once created, open the Event Info page, tap Add Time, and add the GA sections with the same date and time as the seated event
• Edit the settings under Times and Pricing:
• Set the Custom Select Text to "Select Section" (or any wording that suits)
• Set the select option to Buttons or Dropdown
• Set the Custom name for each item to "Seated", "Standing" or similar
• When a customer opens the event online, they will be offered each custom name to choose from, along with the number available
Show a Section Guide Online
A visual guide helps customers find the right section when buying online.
• Give all seated sections one colour on your map and all standing sections a different colour
• Take a picture of the map. This will be the guide for your customers.
• In each section name, state which colour is seated and which is standing, and make sure they are set to the Buttons option type
• Upload the image to an image host and copy the direct image link
• Go to Calendar & Scheduling > Events > select the event
• In the description, click Source and paste the following code:
<img src="IMAGE_URL" style="height:auto !important; width:100% !important" />
• Replace IMAGE_URL with your image link
• Save the event. The image will now display in the event description online.
Create a Multi-Floor Seat Map
Section-based seat maps can have extra floors added after the first one is drawn, which is useful for venues with a stalls, circle and balcony.
Add a new floor
• Create a new section-based seat map, or load an existing one
• Draw the first floor
• When done, tap the + button on the floor picker at the bottom right of the canvas to add a new floor
Each time you start drawing on a new floor, the + button becomes available again, up to a maximum of nine floors.
Convert an existing seat map to multiple floors
If each floor in your existing map is drawn as a separate section, add a new floor, copy and paste the relevant section onto it, then delete it from the original floor. You may need to adjust the sections and floors for a good customer view. Check this using the Preview button at the top left of the designer.
