How to Add a Scanning User

Before using the Flowte Check-In App, you need to create a user with access to scan tickets.

Step 1: Create an Access Control User

  1. Go to Admin > Settings

  2. Click on Access Control Users

  3. Click Add Access Control User

  4. Enter a Username

  5. Enter a Password

  6. Save

You can:

  • Create multiple scanning users (recommended for tracking individual staff scans), or

  • Use the same scanning user across multiple devices.







Step 2: Assign the User to an Event

  1. Go to the relevant Event

  2. Open Event Settings

  3. Click on Access Control Users

  4. From the dropdown, select the user(s) who should be able to scan this event

  5. Save

The user is now ready to scan tickets for that event.




How to Scan Using the Flowte Check-In App

Step 1: Log In
  1. Open the Flowte Check-In App

  2. Enter your Username

  3. Enter your Password

  4. Tap Login

Step 2: Select a Performance
  • Choose the performance you want to scan.

  • Only events within the active scanning window will appear in the list.

If you do not see your event, check that:

  • The event is within the correct scanning time window.

  • The user has been assigned to the event.

Step 3: Start Scanning
  • Once you select the performance, your phone camera will open automatically.

  • If your phone asks for permission to access the camera, you must grant permission.

  • Point the camera at the ticket QR code to scan.

Live Entry Status

You can tap Live Entry Status in the app to view real-time attendance data:

  • Total Scanned – Number of attendees already checked in

  • Total Remaining – Number of attendees yet to arrive

  • Total Sold – Total tickets sold

  • Total Rejected – Tickets that were already scanned or invalid

All scans sync in real time with the Flowte Dashboard, allowing multiple operators to scan simultaneously across different devices.



Multiple Performances

A single user can scan QR codes across multiple events by simply selecting the performances they want to scan.





Live Entry Status

This screen shows real-time scanning activity for your event.

  • Checked-In = Total number of QR codes successfully scanned
  • Checked-In by You = Total number of QR codes scanned by the currently logged-in user


Viewing Reports in Flowte

To view scanning reports:

  1. Go to Settings > Access Control Users
  2. Click on the info icon next to the specific user

You will then be able to see:

  • Total Scans
  • Time of Each Scan
  • Result of Each Scan






Contact QR Scanning

Please note your contact QR code needs to be size 250 or larger in order to scan correctly. If the QR code is too small, it may not scan.

This is because smaller QR codes contain very dense data, which makes it harder for camera scanners to accurately read the pattern, especially in lower lighting conditions or on lower-quality screens.
