Navigate to: Menu > Calendar & Scheduling > Scheduling (or Calendar)
Overview
The Scheduling page is your central view of everything happening at your venue. From here you can add a card to your chosen show pipeline, add activities, and monitor your events and staff schedules in one calendar.
Calendar and Scheduling open the same view, so this article covers both.
Safe to explore
Simply viewing the calendar won't change anything. You can move between dates and views freely without affecting your events, cards or activities. Changes are only made when you use the Add button or edit an item.
Navigating the calendar
• Previous / Next: Move back or forward one period (day, week, month or year, depending on your view).
• Today: Jump straight back to the current date. Today's date is highlighted in green.
• Views: Switch between Year, Month, Week and Day using the buttons at the top right of the calendar.
• Filter: Use the filter icon beside the view buttons to narrow down what is shown on the calendar.
Add Activity
Use activities to schedule anything that isn't a ticketed event, such as rehearsals, get-ins, get-outs, maintenance or meetings.
• Go to Calendar & Scheduling > Scheduling
• Tap Add > Add Activity
• Enter the activity details, date and time
• Save.
The activity now shows on the calendar
Add Card
Cards let you track a show through your pipeline, from first enquiry to confirmed booking.
• Go to Calendar & Scheduling > Scheduling
• Tap Add > Add Card
• Choose the show pipeline you want to add the card to
• Enter the card details
• Save. The card is now added to your chosen pipeline
Monitoring events and staff schedules
The calendar displays your events alongside activities and staff schedules, so you can spot clashes and gaps at a glance. Use the Week or Day view for a detailed look at who is working and what is happening on a given day.
Staff shown on the calendar are pulled from Staff & Payroll, so only active staff members added there will appear.
